Quiro Tech Solutions applies a strict AI governance approach in Proquiro: AI should reduce human uncertainty, not replace human judgment. AI-assisted features are designed as decision-support tools with controls, auditability, and human oversight requirements.

Purpose and Scope

This AI Policy describes how Quiro Tech Solutions designs, deploys, monitors, and governs AI-assisted features in the Proquiro website and hosted application.

It applies to AI-assisted outputs, automation workflows, OCR/document extraction pipelines, summarization, classification, pricing support, risk indicators, recommendations, and similar intelligent features that may be available now or introduced in the future.

Roles and Responsibility

Quiro Tech Solutions. We are responsible for configuring AI-enabled product behavior, provider controls, safety guardrails, and service-level governance within the scope of the Proquiro services we operate.

Customer administrators and users. You are responsible for reviewing AI-assisted outputs, applying professional judgment, and ensuring your organization uses AI features lawfully and appropriately.

Human accountability. Final business, legal, pricing, acquisition, and investment decisions remain the responsibility of human users, not the AI system.

Core AI Governance Principles

  • AI outputs are decision-support tools, not final decisions
  • Human review is required for significant actions
  • Where feasible, outputs should be explainable and auditable
  • Risk-sensitive workflows require stronger controls
  • AI should minimize harm, bias amplification, and overconfidence
  • We aim to use deterministic rules and validation checks where appropriate before or alongside AI inference

AI Use Cases in Proquiro

AI-assisted features in Proquiro may include, depending on product availability and customer plan:

  • Document text extraction and structured field extraction
  • Document review assistance and issue/risk flag suggestions
  • Pricing intelligence support and valuation inputs
  • Risk indicators, summaries, and recommendation drafts
  • Operational assistance such as triage, routing, or prioritization
  • Executive summary or memo-generation workflows (where enabled)

Availability of a use case does not imply automated approval or automated final decision-making.

Inputs and Data Used by AI Features

AI features may process user prompts, customer content, uploaded documents, structured record fields, metadata, and context needed to generate a response or assist a workflow.

Inputs may include data from lead records, competitor data, location intelligence, documents, tasks, and audit-relevant workflow context, depending on the feature and permissions.

We apply role-based access controls and product permissions so that AI features operate within the access scope of the requesting user wherever supported by the feature design.

Limitations and Human Review Requirements

AI-generated outputs may be incomplete, inaccurate, inconsistent, biased, or outdated. Users must independently review and verify outputs before relying on them.

Human review is mandatory before material legal, financial, valuation, pricing, negotiation, or investment decisions are made using AI-assisted outputs.

Proquiro does not provide legal, financial, tax, or investment advice through AI features.

Prohibited AI Uses

You must not use Proquiro AI features to:

  • Make fully automated high-impact decisions without human review
  • Process data you are not authorized to submit
  • Generate unlawful, fraudulent, deceptive, or harmful content
  • Perform surveillance, profiling, or discrimination in violation of law
  • Reverse engineer or benchmark models in violation of our Terms
  • Use outputs as a substitute for licensed professional advice where such advice is required

Training and Model Improvement

We do not use personal data to train public AI models. Internal model improvement or quality analysis, if performed, is intended to use anonymized, aggregated, de-identified, synthetic, or otherwise appropriately controlled data.

If we introduce feature-specific training or fine-tuning flows that materially change how customer data is used, we will update this policy and related contractual/privacy documentation as required.

AI Providers and Supporting Subprocessors (Explicit List)

Depending on deployment configuration and enabled features, Proquiro may use the following named providers and tools to support AI, infrastructure, analytics, or delivery workflows. This list may change over time.

  • Cloudflare — hosting/edge services and, where configured, platform infrastructure such as Workers, storage (including R2), databases, and email bindings used in service workflows
  • Google Tag Manager — website tag management and analytics orchestration (when enabled on the marketing site)
  • PostHog — product analytics and usage measurement in the hosted application
  • Sentry — error tracking and performance monitoring in the hosted application
  • Amazon SES (AWS) — transactional and operational email delivery for product and support communications
  • Dodo Payments — payment processing for subscription billing
  • Google OAuth2 — optional single sign-on authentication (if enabled by user)
  • Google Vision API — OCR and document text extraction support for optional document ingestion pipelines (if enabled)
  • Google Maps Platform — maps, geocoding, places, or related nearby-location data features (if enabled)
  • OpenStreetMap / Overpass ecosystem — geospatial enrichment inputs for nearby-place or infrastructure scan features (if enabled)

Additional vendors (for example AI inference providers or security tooling) may be used as part of service operations and will be disclosed in our privacy/subprocessor documentation and contracts as appropriate.

Monitoring, Auditability, and Logging

We may log AI-related requests, responses, metadata, execution events, and error states to operate the service, investigate incidents, improve reliability, and maintain auditability.

Where feasible, AI-assisted workflows should preserve enough context to support human review, troubleshooting, and accountability. Logging and retention are subject to our Privacy Policy, plan limits, and applicable contracts.

Safety and Security Controls

We apply a combination of technical and organizational controls to AI-enabled features, which may include access control checks, rate limits, validation layers, moderation or safety filters, feature gating, prompt/context restrictions, and human approval points.

No control set is perfect. Customers must use appropriate internal review and governance controls when using AI for sensitive workflows.

Fairness, Bias, and Quality

AI systems can produce biased or uneven results. We seek to reduce harmful outcomes through design choices, workflow constraints, validation, and human oversight, but we do not guarantee bias-free outputs.

Customers should validate outputs using independent data, local expertise, and documented review criteria, particularly in pricing, legal-risk, and acquisition decision workflows.

Changes to This AI Policy

We may update this AI Policy to reflect product changes, provider changes, regulatory developments, or governance improvements. Material changes will be posted on this page, and we may provide additional notice where appropriate.
